The institutional mailbox is automatically provided to regularly enrolled students and, upon request, to university staff. Google Apps services are available within the student and staff webmail boxes, subject to acceptance of the terms and conditions and the privacy policy. Users can download their emails onto their preferred client via IMAP/POP3/SMTP protocols.

Impersonal accounts
How to get it
The impersonal address must include a reference to the relevant structure. The request form must therefore be filled in as follows:
NAME please indicate a reference to the service
SURNAME indicate a reference to the structure
Use of proxies
The applicant assumes the role of pro-tempore owner responsible for the mailbox and is liable for its proper use, in much the same way as in the case of a personal mailbox. The owner may grant access to the box to other employees, exclusively through the proxy mechanism.

In order to grant proxies, affix signatures or set up autoresponders, it is necessary to log in directly to the impersonal user. For this requirement, we recommend that you log in on one browser with your account and on another browser log in with the impersonal account (or use an anonymous session).
User census
The Census programme provides for a user confirmation request to be sent annually, starting from the date of account activation. This request is valid and delivered annually, but not in a single period for all users, as it depends on the date of activation of the individual account.
How to confirm:
- Click on the link in the email.
- Check ‘Confirm’.
- Click on the ‘Send’ button.
Frequently asked questions:
- Why do I have to confirm my account every year? This procedure is to verify that your account is still being used.
- What happens if I do not confirm my account? Every year, you will be sent three reminder emails (monthly) to confirm the use of your email address. If you ignore these requests, your account may be deactivated.
- Am I exempt from this procedure? If you have an open-ended contract, you do not need to confirm your account.

Migrate your Apps Script projects to V8 runtime by January 31, 2026

Upcoming update to Apps Script that will affect the way your scripts run. The Rhino runtime will be retired on January 31, 2026.
Starting in February 2020, all new scripts created in Apps Script will run code in the V8 runtime by default. There are significant benefits to migrating to the V8 runtime, including:
- Access to modern JavaScript features: supports the latest JavaScript standards, giving developers access to powerful new features of the language.
- Improved security and stability: Provides a more reliable and secure runtime environment.

Change on third-party app management as of March 14, 2025
As of March 14, 2025, you must use the OAuth authentication method to access third-party apps in order to provide greater security for your account.
What does this mean for you?
- You will no longer be able to use apps that only require a username and password to access your account.
- You will have to use apps that support OAuth, a more secure login method.
What should you do?
- Check that the apps you use support OAuth.
- If not, you will have to update them or switch to compatible apps.
Why this change?
OAuth offers greater protection against unauthorised access and credential theft.
This update is necessary to maintain high security standards for your account.

Exporting/transferring data with Takeout
Takeout is a Google service that allows users to export their data for backup or import into other work environments and/or applications.
Exportable data is related to Google products and includes photos (in Google Photos), email (in Gmail), maps, calendars (in Google Calendar), contacts, all Drive content, and many other types of data.
The automatically created archive in .zip or .tgz format can be sent by email, as a downloadable link, or automatically uploaded to a number of cloud services, including Google Drive, OneDrive and Dropbox. With this choice, the created archive is automatically saved to the chosen storage.
Google TakeOut also allows you to copy and transfer Google Drive emails and files to another Google account.

Checking and managing storage space in use
The space managed via Google Workspace is intended for institutional content only.
We provide the following guidelines to help you better manage your space:
- Remove personal content;
- Check the actual usefulness of outdated files;
- Teaching activities - files containing video recordings of lessons take up a lot of drive space. We recommend that you keep the most recent lessons and move or delete outdated material.
- Delete drive contents that may have been replicated on a shared drive. If the same file is in two different locations, it can take up twice as much space.
